We are seeking a creative and organized Marketing Proposal Specialist. The Marketing Proposal Specialist is an integral member of our team. The successful candidate will collaborate with Firm’s leadership to establish marketing strategy while understanding they are simultaneously responsible for producing deadline-driven deliverables. .

Responsibilities include:

  • Performs detailed analysis of SOQ, RFQ and RFP requirements; facilitates proposal kick-off and review milestones in accordance with best practices
  • Organizes and coordinates proposal contents: capture team input, incorporate supporting graphics, verify project information, etc. 
  • Provides writing support, including, but not limited to, developing rough drafts and detailed outlines, supporting development of storyboards, and writing and tailoring resumes, project descriptions, summary paragraphs, action captions, and project statements
  • Researches and compiles information from both external and internal sources, involving a variety of databases and data sources (internet, company intranet, previous proposals, etc.)
  • Performs self-check of work products during the lifecycle of the proposal and review work of subordinates as required
  • Ensures timely completion and delivery of all assignments, review of work, and adherence to best practices and quality control objectives 
  • Organizes final proposal content as part of proposal closeout procedures to ensure ease of referencing for the marketing team
  • Supports or leads in organizing and strategizing marketing meetings
  • Participates in required training and knowledge sharing activities
  • Supports interview teams and other marketing presentation needs
  • Participates in industry-related associations, if requested
  • Performs other marketing-related duties as assigned


  • 3-5 years of relevant proposal preparation experience (A/E/C industry preferred)
  • Strong attention to detail and accuracy
  • Strong ability to perform multiple tasks in an organized manner
  • Competency/experience with Adobe Suite software (InDesign, Photoshop, Illustrator, etc.)
  • Excellent communication skills, including the ability to work positively and professionally with various levels of staff throughout the organization
  • Proficiency in business writing, technical editing, proofreading, document formatting skills
  • Degree in English, marketing, journalism, communications, business, or applicable field
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Willingness and ability to participate in overtime hours and travel within the local/regional area, if required
